Automations empower super administrators to streamline and control repetitive administrative tasks with ease.
You can use templates to quickly complete common actions, such as assigning rules to content, distributing courses to person categories, and enrolling new starters. The available templates include the following.
Bulk enrolment. Enrol multiple person categories onto multiple courses in one action.
Assignment. Allocate rules across multiple courses instantly.
New starter enrolment. Automatically enrol new starters onto selected courses.
After you create an automation, it runs automatically according to your chosen schedule. This removes the need for manual processing and ensures tasks are completed consistently and on time.
Create an automation
To create an automation for the first time, follow the below steps.
From the admin area, click Tools, then click Automations.
Select a specific organisation if required, then click Create Automation.
Click a template to learn more about it, then click Use Template.
Click each outlined section and select the relevant options from the panel.
In the final panel, select when to activate your automation. Click Now to run immediately or click From a specific date to set an activation schedule.
Click Save and Activate.
To create additional automations, click Create Automation from the automations area, then repeat steps 3 to 6.
Manage automations
You can manage all automations from the automations area. This page displays every automation configured for your organisation, giving you full visibility and control.
From the automations area, you can do the following.
Toggle automations on or off.
Filter automations by active or inactive status.
View who created each automation using the dropdown filter.
Use an automation's three-dot menu to view details, edit, duplicate, lock, delete or rename it for easier identification.
📌 Note: All administrators can turn automations on or off, regardless of who created them. However, some management options are only available when the automation is active or inactive, locked or unlocked.
