Guidance on assigning a user as a delegate manager

Assigning a delegate manager can make LMS administration more efficient.

especially important in large organisations. For example, it allows someone to manage training tasks, like assigning courses or tracking progress, on behalf of a manager without needing direct reports.

Delegate managers can be assigned from either profile. The elected delegate manager must have the line manager system role to be able to view the My Team area.

The delegate manager effectively is a temporary or alternative line manager for the user and, depending on reporting scope, anyone that reports in to them.

To do this, follow the relevant guidance below.

Assign delegate manager from the manager's profile

  1. Switch to admin view.

  2. Click Workforce, then click People.

  3. Search for and select the relevant user.

  4. Click Reporting Lines, then click Add Manager.

  5. Search for the delegate manager's name, then click Select relationship and select Delegation.

  6. Click Select reporting scope then select the relevant reporting scope.

  7. Click Confirm.


Assign from the delegate manager's profile

  1. Switch to admin view.

  2. Click Workforce, then click People.

  3. Search for and select the relevant user

  4. Click Reporting Lines, then click Add Reporting Line.

  5. Click Select relationship then select Delegation.

  6. Search for and select relevant user.

  7. Click Select reporting scope then select the relevant reporting scope.

  8. Click Confirm.


Delegate manager form access

Delegate manager's can also access and submit forms for other reports.

📌 Note: To do so, the delegate manager needs to be setup as above, and in each form they are required to access needs to have Allow Delegate Access enabled.

To do this, follow the below steps.

  1. Switch to admin view.

  2. Click Tools, then click Template Hub.

  3. Search for and select the relevant form.

  4. Click New Version, then click Confirm.

  5. Click the Details Tab, then enable Allow Delegated Access.
