Map organisation structure using tags

Guidance on creating tags to be applied to users in Access Evo.

⚠️ Important: The below guidance is only applicable to sites based in Access Evo.

Tags enable hierarchy mapping by structuring the organisation in Access LMS Evo based on the tags applied to users.

There are two ways to build an organisational structure in Access LMS Evo.

Access Evo includes three default tag groups.

  • Department,

  • Office Location

  • Job Title.

Tags can be created within these groups and assigned to users. Additional tag groups and tags can also be created to match organisational needs.

Tags applied to users appear as person categories in Access LMS Evo, visible under the Categories tab in user profiles. The categories can be used to map the hierarchy within the Organisation and Units section.

📌 Note: If mapping organisation hierarchy using tags, this overrides any existing organisation structure. Any changes made will update overnight.


Create tags for users

Administrators in Access Evo can create and apply tags to users.

To do this, watch this video or follow the relevant guidance.


Map organisation hierarchy

After applying tags to users, start mapping the organisation.

To do this, watch the video or follow the steps below.

  1. Switch to admin view.

  2. Click Workforce, then click Organisation and Units.

  3. Click Mapping.

  4. Select relevant category to create units for the associated categories.

  5. Click Save to finish.

📌 Note: If a user is missing a tag for one of the levels, they will instead be placed in a Default group for that level.


Hierarchy Mapping FAQ

Why isn't one of the Evo tags groups created showing in the mapped hierarchy?

Tags only pull through if at least one user has been assigned to that group. If there is no one in that category group, it will not be mapped.

Can organisation units still be created manually inside Access LMS Evo?

Yes, it's still possible to create units normally in Access LMS Evo, and move users into the units, however whilst mapping is in place, it continues overriding any manual changes made. Overnight users are moved according to their people categories and mapping. Removing hierarchy mapping returns it to moving and assigning users manually.
