Retain due dates and completion status when moving users to new version of course

Guidance on how to export users to a new version of training while retaining the existing due dates and completion status.

Administrators can import user registrations while preserving existing due dates and completion status. This function supports the replacement of activities with similar content without affecting user progress, for example, if a course is updated to reflect new compliance standards, users can be moved to the updated version without losing their original completion records or deadlines.

⚠️ Important: The below process allows setting a user’s status only to Not Started, Completed, or Exempt. If the user has partially completed the learning, any progress will be lost, and the training must be restarted.

Export user registrations from old courses

Using a report, locate the users to move from the previous course version.

To do this, follow the steps below.

  1. Switch to admin view.

  2. Click Reporting then select Quick Reports.

  3. Click New Report, then click Activity Completion Status Report.

  4. Click Next, then set the return results to current. Click Next.

  5. Select the following fields:

    • Full Name

    • Activity Name

    • Activity Type

    • Certificate Expires On

    • Completion Date Completion Status

    • Due Date Registration Status

  6. Click Next, then click Next again.

  7. Click Export... then select CSV file format.

  8. Open the spreadsheet, then filter the results for the required course and users.


Import user registrations to the new course

Copy data from the downloaded CSV document, then importing it to the new course.

To do this, follow the steps below.

  1. Switch to admin view.

  2. Click Content, then click All Content.

  3. Search for and select the relevant course

  4. Click the Users and Rules tab, then click the 3-dot menu next to Register User.

  5. Select Import Registrations, then click Download CSV Template.

  6. Copy data from the downloaded report into the relevant fields of the template.

  7. Save the template to your device, then return to the Import wizard and click Next.

  8. Upload the saved import template then click Next.

  9. Click Import to finish and upload the template.
