Deactivate or reactivate a user

Guidance on how to remove a user profile from Access LMS Evo by deactivating the member in Access Evo.

Administrators in Access Evo can deactivate a user when necessary, for example if they leave the company.

Once deactivated, their profile on Access LMS Evo will be archived. Archived users are removed from any training they're registered to. The users certificates remain available on the system, for auditing purposes, and will be still visible on their record if they get reactivated later.

📌 Note: You can only fully delete pending members.

Deactivate a user

To deactivate a user, follow the below steps.

  1. Click the Members icon

  2. Search for and select the relevant user.

  3. Click the three dot menu, then click Deactivate.


Reactivate a user

Administrators can reactivate previously deactivated user profiles as needed.

⚠️ Important: After being reactivated, users need to be designated a system role for Access LMS Evo.

To do this, follow the below steps.

  1. Click the Members icon

  2. Apply the Include deactivated filter, then search for and select the relevant user.

  3. Click the three dot menu, then click Activate.

  4. Click Yes to confirm.


Archive or restore a user outside of Access Evo

Administrators in Access LMS Evo outside Access Evo can archive and restore users from directly within Access LMS Evo.

To do this, follow the below steps.

  1. Switch to admin view.

  2. Click Workforce, then click People.

  3. Click Users, then search for and select the relevant user.

  4. Click either Archive or Restore as required.

  5. Click Finish.
