Import module registrations

Guidance on how to import users registrations to a module in bulk using a CSV import template.

Administrators can import module registrations to register users to a module in bulk. In addition to adding users to a module, you can set individual due dates, exemption details, certificate expiry dates and more.

To do this, watch the video or follow the steps below.

Access the import module registrations wizard

  1. Switch to admin view.

  2. Click Content, then click All Content.

  3. Click Manage, then search for the relevant content.

  4. Click Common Tasks, then click Users and Rules.

  5. Click the three dot menu, then click Import Registrations.

  6. Click Download Template.


Complete the import template

Fill in the template with the relevant user data.

Use the table for guidance on how to fill in each column:

Mandatory or Optional

Notes

Username or Email address

Mandatory

Use one of these fields to match users for import.

Must match Username or Email address in Access LMS Evo.


📌 Note: Only one of these fields needs to be completed.

Employment code

Optional

Unique ID for the individual, such as an employee number or ID from an HR system.

Due date

Optional

Expected date of completion.

Must be in DD/MM/YYYY format.

Exemption completed on

Optional

Setting a value marks the user as exempt from the content.

Must be in DD/MM/YYYY format.

Exemption note

Optional

Add a note explaining why the exemption was set.

Exemption reason

Optional

Enter Complete into this field to show the exempted registration as Complete instead of Exempt.

Enable grace period

Optional

If set to True, registered users are exempt from reporting until they have either completed the content, or the due date has passed.

Can be set to either True or False.

Cancel registration

Optional

If set to True, the user has their registration cancelled.


⚠️ Important: Other optional fields can't be used if Cancel Registration is set to True.

Certificate expiry date

Optional

Setting a value marks the user’s certificate expiry date for the content when Exemption Completed On is supplied too.

Must be in DD/MM/YYYY format.


Upload the import template

  1. Return to the import wizard, then click Next.

  2. Drag and drop your saved template into the upload window, then click Next.

  3. Allow the wizard to check for any errors, then click Import.

📌 Note: If you're importing a large amount of data, it may take some time before it shows correctly.
