Import CPD entries to a user profile

Use a downloadable import template to import CPD records.

Access LMS Evo supports the import of CPD contribution records directly into the CPD log, allowing organisations to capture learning completed outside the platform. Each imported record can include details such as the learning activity, date, and duration.

On LMS² sites, administrators can import CPD records on behalf of individual users. This function is intended for uploading multiple entries to a single user's CPD log and is not designed for bulk uploads across multiple users.

To do this, follow the steps below.

📌 Note: Import template requirements depend on how each user’s CPD scheme is configured. Different schemes may require different fields, so always download a fresh template before importing records to ensure compatibility.

Download the import template

Users

For a user to access their own CPD log.

  1. From the learner homepage, click your initials in the navigation bar.

  2. Select My CPD.

  3. Click Import.

  4. Click Download Template to download the template and save to device as a .CSV file.

Administrator for another user

Administrators on LMS² sites can access a user's CPD log on their behalf by following the below steps.

  1. Switch to admin view.

  2. Click Workforce, then select Organisation and Units.

  3. Select relevant organisation name, then click the Users tab.

  4. Search for and select relevant user.

  5. Click the CPD Log tab.

  6. Click Import.

  7. Click Download Template to download the template and save to device as a .CSV file.


Complete the import template

Complete the template with CPD record data using the guidance provided in the table below for each column.

All columns must remain in the data file, even if not in use. Leave unused columns blank.

Mandatory fields can be identified by selecting Add CPD within the CPD Log, which displays the required fields based on the CPD scheme configuration.

Some fields may vary depending on the specific setup of the CPD scheme. Additional fields not listed in the table may appear if custom CPD rules have been applied to the scheme.

Save the template to your device once complete.

LearningOutcome

Mandatory if required by scheme

If this is mandatory in the CPD scheme, add a learning outcome in this column.

ActivityStatus

Mandatory

Either Incomplete or Completed.

EndDate

Mandatory

Date activity was completed.

Must be in the following date format, along with the time: DD/MM/YYYY Hours:Mins:Secs.

For example, 22/08/2021 02:30:00.

DateCompleted

Mandatory

The same as the EndDate.

Hours

Mandatory for hours based CPD schemes

Leave blank if not using an hours based scheme.

Hours must be recorded in the following format: Hours:Mins:Secs.

For example, 02:30:00.

TimeSpent

Mandatory for time spent CPD schemes

Leave blank if not using a time spent based scheme.

The time spent must be recorded in the following format: Hours:Mins:Secs.

For example, 02:30:00.

Reflective Statement

Mandatory if required by scheme

If mandatory in the CPD scheme, add a reflective statement in this column.

CpdStartDate

Optional

Date activity started. Useful for capturing learning that lasted multiple days.

Must be in the following date format, along with the time: DD/MM/YYYY Hours:Mins:Secs.

For example, 22/08/2021 02:30:00

FileAttached

N/A

This field is non functional.

ActivityId

Optional

Can be used to add in a relevant activity ID associated with the entry.

GroupId

GroupDevelopmentNeed

GroupLearningOutcome

GroupReflectiveStatement

Optional

Can be used to group activities together in the CPD log.

Ensure all entries being imported to the CPD log have the same Group entries to match them together.

CPD ActivityType

(May be present, depending on how CPD scheme has been set up)

Mandatory if required by scheme

CPD Activity Type needs to match one of the CPD Activity Type options available in the CPD Scheme.

Check the available options by clicking Add CPD in the CPD log, then expanding the CPD Activity Type menu.

CPD Category

Mandatory if required by scheme

Either Structured, Unstructured or Knowledge.

Check the available options by clicking Add CPD in the CPD log, then expanding the CPD Category menu.


Upload the import template

After populating the template, upload it to the CPD log.

  1. Return to the import wizard, then click Choose File.

  2. Select relevant import file, then click Open.

  3. Click Import.

CPD entries are uploaded to the CPD log. Depending on the size of the import, this may take a few minutes to appear.

Download a record of the CPD log by clicking Export. This can then be downloaded as a ZIP file if including attachments, or as a CSV file if not including attachments.
