Set up automatic archiving and deletion users

Enable user archiving and deletion to automatically archive or delete users by employment or last log-in date.

Enable user archiving and deletion to automatically archive, then delete users who haven’t logged into Access LMS Evo within a set time period, while specifying teams to exclude from this process. This helps ensure compliance with regulations like GDPR.

Enable automatic archiving

📌 Note: If the User Archiving tab isn't visible, check the Manage Features section. This indicates the feature is already enabled.

  1. Switch to admin view.

  2. Click Settings then click Global Settings.

  3. Click Available Features, then click the User Archiving tab.

  4. Follow the relevant steps in the below sections.


Automatically archive users

There are two available options.

  • Enable Automatic User Archiving by Last Login Session

  • Enable Automatic User Archiving by Employment End Date

Enable automatic user archiving by last login session

  1. From the user archiving tab, toggle on Enable Automatic User Archiving by Last Login Session.

  2. Set the length of time before a user is automatically archived.

  3. Select groups to exclude want to exclude from the rule.

  4. Click Save.

Enable automatic user archiving by employment end date

📌 Note: To use this feature, users' employment date in profile must be captured by either using a data feed or entering the information manually.

After turning on, all users with a past employment date are automatically archived overnight.

To do this, follow the below step.

  • From the user archiving tab, toggle on Enable Automatic User Archiving by Employment End Date.


Automatically delete users

  1. From the user archiving tab, toggle on Enable Automatic User Deletion.

  2. Set minimum length of time, with minimum value of 2 years.

  3. Click Save.
