The following policies have been updated to improve format and structure, with content restructured around obligations, procedures and the regulatory framework, and customisation guidance moved into Word comments:
Client Care Policy (Version 4.0)
Email Policy (Version 4.0)
Financial Management Policy (Version 3.0)
Information Management and Security Policy (Version 5.0)
Learning and Development Policy (Version 3.0)
Data Protection Policy Supporting Documents
Both privacy notice templates (client-facing and staff-facing) have been updated to reflect the following changes introduced by the Data (Use and Access) Act 2025 (DUAA). The checklist of action and questionnaire have been updated accordingly.
Complaints procedure — a "How to make a complaint" section added setting out how individuals can complain directly to the firm, reflecting the requirement under s.103 DUAA (in force 19.06.26) for all data controllers to operate a formal complaints procedure. Firms should ensure all placeholder fields are completed.
Automated decision-making — the data subject rights bullet, privacy notices guidance and questionnaire updated to reflect the new permitted-with-safeguards regime under s.80 DUAA (in force 05.02.26), replacing the previous Article 22 UK GDPR restriction. Firms using automated decision-making should review their practices against the four mandatory safeguards under Article 22C UK GDPR.
Information Management and Security Policy Supporting Document
Minor updates made including:
Corrected MFA terminology ("multi-factor identification system" → "multi-factor authentication").
Added a questionnaire bullet on reviewing cookies against the DUAA 2025 consent exemptions and updating the cookie notice accordingly.
