Manage fields across stages in the workflow

Move or copy fields in a workflow to ensure the correct fields are available to complete by the right people at the relevant stage.

By default, the first time the Workflow tab is accessed after creating a form template, every editable field added in the Layout tab appears as a separate tile in the first stage of the workflow.

Fields can be moved or copied to make them available in multiple stages. When a field appears in a stage, the owner and any contributors of that stage can edit that field when the form is assigned to them. If a field does not appear in a stage, it remains non-editable by the owner and contributors at that stage.

Field visibility is controlled separately within the Layout tab and is unaffected by its presence in the Workflow tab.

Move a field

  1. Switch to admin view.

  2. Click Tools, then select Template Hub.

  3. Click Form Templates, then search for and select the relevant form template.

  4. Click the Workflow tab.

  5. Drag and drop relevant field to the relevant stage.

  6. To move multiple fields, click Select Fields.

  7. Select relevant fields, then drag and drop selected fields to relevant stage.

This removes the selected fields from the original stage. For the fields to be available to edit in both stages, follow instructions below to copy them.


Copy a field

Copied fields appear in both stages and will be editable by both stage owners and any contributors.

To do this, follow the below steps.

  1. Switch to admin view.

  2. Click Tools, then select Template Hub.

  3. Click Form Templates, then search for and select the relevant form template.

  4. Click the Workflow tab.

  5. Click the Copy icon in the relevant field.

  6. Select relevant stage to add copied field to.

  7. Click Create Copy.

  8. To copy all fields, click the three dot menu and select Copy all fields.

  9. Select relevant stage to add the copied fields to.

  10. Click Create Copy.


Delete a field

  1. Switch to admin view.

  2. Click Tools, then select Template Hub.

  3. Click Form Templates, then search for and select the relevant form template.

  4. Click the Workflow tab.

  5. Click the trash icon in the relevant field.

📌 Note: Fields that only appear in one stage can't be deleted.

If no longer relevant, delete the relevant field from the relevant section of the Layout tab.
