Add the user data field when designing form templates to automatically push and pull user data between the form and the user's profile.
Choose the type of profile data to pull in to the form from any of the personal custom fields in a user's profile.
Super administrators in LMS² sites can create custom profile fields in site settings.
To add a user data field to a form template, follow the below steps.
Switch to admin view.
Click Tools, then select Template Hub.
Click Form Templates, then search for and select the relevant form template.
Click the Layout Tab,the click the user data icon on the tools palette.
Click the plus icon to expand the groups, then drag the relevant field on to the page.
Custom field mode
Choose whether the field pulls data from the user's profile, or to enter data into the form which will then be pushed back to the user's profile (push mode). The options are detailed in the below table.
Custom field mode | Form activity when assigned to user |
Pull | User's custom profile data is automatically added to the relevant user data field when a person within the workflow launches the form activity.
It's not be possible to edit the profile data within the form itself, but while the form's still live and transitioning through the workflow, managers or administrators can update the data held in the additional information tab in the user's profile to automatically update it in the form next time it's launched.
The field updates in real time until the final form sign-off. After sign-off, a snapshot of the data is saved and the data value is fixed. |
Push | User data field is left blank for the person completing the form to capture the data.
When the form reaches the end of the workflow and is complete, the data entered in the user data field is saved to the user's profile.
If data already exists in the profile, it's overwritten with the data entered into the form. |
